Creating and Sending a Questionnaire

Questionnaires are a fantastic way to collect important information from your clients before a session. With Studio Manager, you can effortlessly create personalized questionnaires that your clients can complete on any device.

Creating a Questionnaire

If you frequently use the same type of questionnaire in your photography workflow, we recommend setting it up as a questionnaire template first by going to Templates > New Template > Questionnaire.

When you’re ready to send a new questionnaire to a client, create one in just a few clicks:

  1. Go to Documents > Questionnaires > New Questionnaire. Then, assign a new or existing client to the document.

  2. If you have set up a questionnaire template previously, confirm whether you’d like to start a questionnaire from scratch or use a template.

Once you are taken to the document editor, you are ready to begin filling out your questionnaire with any question type that you require.

Adding Question Types

To add a new question to your questionnaire, click the green + button under any of your existing questions. Once a new question is created, you can adjust its type as needed.

There is a variety of options available to you when building a questionnaire:

  • Multiple question: Use this to list several possible options, from which the client can choose their preferred (single) choice.

  • Checkbox: This question type lets your client select more than one answer from a list of choices you provide.

  • Short text or Long Text: Accept freeform answers from your client.

  • Email: Collect an email address from your client.

  • Date: Ask your client to select a calendar date (e.g. 01/15/2022), as well as a time (e.g. 11:30 AM) if activated.

  • Explanation: A space where you can share additional information with your client. This is not a question type, so your client will not be able to interact with this specific section.

Tip: Is there a specific question that your client must answer? You can set the question as required by hovering over it and toggling its Required setting on.

Activating Document Expiry and Reminders

If you are on an upgraded Studio Manager or Suite plan, you have the ability to set up Document Expiry and Document Reminders for your questionnaire:

  • With Document Expiry, the questionnaire will automatically cancel if it is not completed by the expiry date. Canceled questionnaires can still be viewed by the client but they can no longer be filled out.

  • With Document Reminders, an email reminder will be sent out to the signer(s) who have not signed the questionnaire within a certain timeframe. These reminders are automatic and cannot be modified.

Note: If you don’t see a calendar appear when setting up Document Expiry, you are likely editing a questionnaire template rather than a questionnaire. Apply your template to an individual questionnaire to set an expiry date.

Sending a Questionnaire

When you’re ready to send your questionnaire, click Send Questionnaire in the top right-hand corner to go to the email composer, where you can customize a message for your client. From there, you can choose to send the email containing the questionnaire to your client immediately or schedule it for a later date.

If you communicate with your client outside of emails, such as via text, you can easily retrieve a direct link to their quote instead by clicking Send via link at the bottom of the email composer instead.

Tip: Need to check whether your email sent successfully? When viewing the document in your Dashboard, click Share > Email History.
